HVAC proposal software — Good/Better/Best quotes homeowners sign

HVAC proposal software turns any estimate into a three-option proposal a homeowner signs on the spot. ScopeToSign presents Good, Better, and Best on their phone — each option's price, what it adds, and the delta spelled out — then captures a signature and, when enabled, a deposit. From estimate to signed, in one flow.

One 3-ton change-out, three options the customer chooses between

Every total and every delta below is real resolver output from the HVAC pack’s researched defaults — the same numbers the estimate produced. Nothing is hand-typed.

Why three options win more work

Not a growth-hack claim — a plain mechanism. A homeowner staring at a single number is deciding whether to spend at all. A homeowner looking at three clearly-priced options is deciding which one — a completely different, easier question, and one that often lands above the base. The tool's job is to make those three options honest, fast, and easy to compare on a phone. Here's why it works.

Choice beats yes/no

One price asks “do you accept?” Three options ask “which one?” The homeowner compares comfort and efficiency against a clear price delta instead of deciding whether to spend at all.

The delta does the selling

When Better is only +$316.75 over Good for a two-stage system, a float switch, and surge protection, the upgrade explains itself. The number is computed, not invented.

Honest about the number

We don’t cite a magic close-rate percentage — the studies vary and your market is your own. What we stand behind is that every option’s price is real, and the customer sees exactly what each one adds.

Anatomy of the page the homeowner opens

A complete ScopeToSign proposal top to bottom: brand header, Good/Better/Best options, scope of work, a what's-not-included exclusions strip, terms, and the sign-to-accept area.
The hosted proposal on a phone — brand header, options, scope, exclusions, and the sign bar.
  • Your brand header. Logo, license number, and insured badge — the trust strip a homeowner looks for.
  • Option cards with delta framing. Good/Better/Best, each with what it adds and the price difference spelled out.
  • Scope of work + visible exclusions. What's included and what isn't — exclusions sit in plain sight, where disputes die.
  • Sign bar + deposit. A sticky Accept bar, a typed-name signature, and a deposit step when it's enabled.

From estimate to proposal in one tap

The proposal isn’t a separate document you rebuild — it’s the estimate, presented. Price the change-out once and the three options carry straight into the proposal, so the number the customer signs is the number you built. That’s the difference between a proposal tool bolted onto a spreadsheet and one with the pricing already inside it.

After they sign

A signature isn’t the end of the job — it’s the moment the estimate becomes a contract. Two things routinely blow up a signed HVAC job: a surprise found once the old system is out, and a customer who agreed to one scope and remembers another. Both are handled here without a phone-call argument.

Change orders, not re-quotes

Found a rusted-out plenum mid-job? A numbered change order adds the delta on top of the signed proposal — the original stays locked, and the customer signs the change the same way.

A maintenance-agreement line

Add a maintenance plan as a scope line on the Best option so the tune-up agreement rides along with the new system — presented, priced, and signed in the same flow.

HVAC proposals — common questions

Does the homeowner e-sign the proposal?

Yes. They pick an option and sign with a typed name right on their phone — no app, no account. You get an evidence-grade acceptance record (the signed option, the time, the version) and a PDF, so a dispute has a paper trail.

Can I collect a deposit when they sign?

Yes, when deposit collection is enabled. Deposits are charged on your own Stripe account — never our balance — so the money is yours from the moment the customer accepts. It's off by default until the Connect setup is complete.

Is there a financing line on the proposal?

You can add a monthly-payment or financing line as a scope item so the customer sees a monthly figure alongside the total. ScopeToSign doesn't originate financing — it presents the line you set; the lender is yours.

Does it work with my current estimating?

It's strongest as one flow — price the change-out in ScopeToSign, then send the proposal. If you already have a number, you can build the three options from custom lines and still get the phone-signed proposal, e-signature, and deposit.

Why three options instead of one price?

A single price is a yes-or-no question; three options turn it into a choose-up. The customer compares comfort and efficiency against the delta and picks — often above the base. We don't quote a magic close-rate number; the mechanism is choice, and the pricing behind every option is real.
