Privacy Policy

The short version
ScopeToSign stores what it needs to run your estimating and proposals — your account, your price book, your clients, and the proposals you send. You can export all of it any time, and you can delete a client to erase their personal information. We don’t sell your data or your customers’ data.
What we store
- Your account: your business name, sign-in email, branding, plan, and settings.
- Your price book and estimates: the tasks, prices, and line items you configure.
- Your clients: the names, contact details, and job addresses you enter.
- Proposals and acceptances: the proposal versions you send and the signed acceptance records (option, total, signature, date, and session details) kept as proof of what was agreed.
- Job photos: images you upload. We strip GPS location data from photos before storing them.
- Basic technical data: logs and rate-limit records used to keep the service secure and running.
How we use it
To provide the product: build estimates, generate proposals, deliver the emails you send, collect deposits through your connected Stripe account, and keep the service secure. AI features process your estimate inputs to draft and review your work; they never set prices and never send on their own. We do not use your customers’ personal information for marketing.
Who we share it with
Only the service providers that run the product: our hosting and database (Supabase, Vercel), payments (Stripe), email delivery (Resend), and the AI provider (Anthropic) for the drafting and review features. Each processes data only to provide their part of the service. We don’t sell personal information.
Deleting a client (erasing personal data)
From a client’s page you can delete them. This permanently erases their personal information — name, contact details, and address — from your account and from inside the proposals you already sent, replacing it with “[redacted].” Because signed acceptance records must stay intact for your books, the record of what was agreed and the totals remain, but the personal details are removed and only a one-way cryptographic reference is kept so the financial record stays consistent. This can’t be undone.
Exporting your data
From Settings → Export, you can download your price book, clients, estimates, and proposal history as JSON or CSV whenever you want — including when you decide to leave. Your data is yours.
Keeping data and keeping it safe
We keep your data while your account is active and for a reasonable period afterward to meet legal and accounting needs, then remove it. We protect it with encryption in transit, tenant isolation so one account can never see another’s data, and least-privilege access controls.
Your customers
When you send a proposal, your customer sees only that proposal. They can accept, decline, or request an updated quote. Their acceptance record is stored as your proof of the agreement. If a customer asks you to remove their information, you can delete them as described above.
